Studio Operations Coordinator

We are seeking a highly organized, detail-oriented Studio Operations Coordinator to support the day-to-day management of the Studio and its residential projects.

This is primarily an operational and administrative role rather than a design-track position. The ideal candidate is someone who genuinely enjoys organization, logistics, spreadsheets, systems, follow-through, and keeping many moving pieces on track.

Working closely with the Principal, this person will help manage project administration, procurement, vendor coordination, scheduling, financial tracking, and general studio operations.

The goal of the role is to create greater structure behind the scenes so that the design team can remain focused on creative work and client service.

Responsibilities

Studio & Project Administration

  • Maintain project files, schedules, trackers, and internal documentation

  • Organize and maintain Google Drive project folders and Studio systems

  • Prepare meeting agendas, take notes, and track follow-up items

  • Maintain client decision, revision, and outstanding-action logs

  • Assist with scheduling client, vendor, contractor, and project-team meetings

  • Track deadlines, approvals, and outstanding information across active projects

  • Help maintain weekly internal project dashboards and priorities

Procurement & Order Management

  • Prepare and maintain procurement information in Studio Designer

  • Request and organize vendor quotes, lead times, specifications, and availability

  • Assist with procurement proposals and purchase-order preparation

  • Track approvals and client funding prior to order placement

  • Place and manage approved orders

  • Verify order confirmations, quantities, finishes, dimensions, fabrics, shipping information, and lead times

  • Maintain order and production tracking

  • Follow up with vendors regarding outstanding orders and estimated delivery dates

  • Coordinate freight, receiving, storage, and delivery information

  • Track damages, claims, replacements, credits, and outstanding resolutions

  • Assist with installation planning and warehouse coordination

Vendor & Trade Coordination

  • Maintain organized communication with vendors, workrooms, fabricators, receivers, and specialty trades

  • Request samples, CFAs, strike-offs, finish samples, and production information

  • Track custom furniture, upholstery, window treatments, and other specialty fabrication

  • Maintain vendor contact information and Studio trade-account records

  • Follow up on routine project questions and outstanding deliverables

Financial & Administrative Support

  • Maintain project budgets and procurement trackers

  • Assist with reconciliation of vendor invoices, payments, freight, and receiving costs

  • Track outstanding client approvals and payments

  • Coordinate with the Studio’s bookkeeping team as required

  • Assist with monthly project financial reviews and reporting

  • Maintain accurate Studio Designer records across active projects

Studio Operations

  • Help develop, maintain, and improve Studio systems and standard operating procedures

  • Maintain templates, forms, checklists, and internal resources

  • Coordinate sample-library organization and returns

  • Assist with general Studio scheduling and administrative needs

  • Identify recurring tasks or inefficiencies and help develop better systems for managing them

  • Support installation, photography, and project closeout logistics as needed

The Ideal Candidate

You may come from interior design, architecture, purchasing, luxury retail, operations, accounting, hospitality, or another detail-driven field. Interior design experience is welcome but is not required.

More important is that you are:

  • Exceptionally organized and detail-oriented

  • Reliable and proactive about follow-through

  • Comfortable managing many small moving parts simultaneously

  • Naturally inclined to create systems, lists, and structure

  • Strong with numbers and spreadsheets

  • Comfortable communicating professionally with vendors, clients, and trades

  • Able to anticipate what needs to happen next rather than waiting for every instruction

  • Calm and solutions-oriented when something goes wrong

  • Comfortable working in a small, entrepreneurial business where responsibilities can evolve

  • Discreet and professional with client and financial information

Experience

Ideal candidates will have approximately 2-5 years of professional experience in operations, project coordination, purchasing, administration, accounting, logistics, interior design, architecture, or a related field.

Experience with any of the following is highly regarded:

  • Studio Designer

  • Google Workspace

  • Excel / Google Sheets

  • Residential interior design procurement

  • Freight, receiving, or warehousing

  • Vendor and trade-account management

Training will be provided on Studio-specific systems and processes.

What This Role Is, and Isn’t

This role is designed for someone who enjoys the operational side of a creative business.

There will be opportunities to assist with samples, presentations, site visits, installations, and other design-studio activities, but this is not intended to be a junior interior designer position or a path primarily focused on creative design work.

The right person will take pride in creating organization behind the scenes, keeping projects moving, and making the Studio more efficient.
